NMHC’s OPTECH Conference & Expo is open to NMHC members and non-members. Conference attendance fees or waivers do not include hotel room charges.
Hotel Reservations
NMHC group room blocks are sold out on Sunday Oct. 20 and Wednesday, Oct. 23. There is limited availability for the night of Monday, Oct. 21 and Tuesday, Oct. 22.
Once you register, you can complete a waitlist request form for any nights not available online. We are working with the hotel for additional rooms and/or will clear the waitlist based on cancellations. Once availability opens we will contact those off the waitlist.
In order to make a hotel reservation request in the group block you must be a registered attendee.
Check your registration confirmation email for the link to request a room reservation. Please have your meeting registration confirmation code ready when you go to request your reservation. You will be asked to put your unique registration confirmation code on the reservation form. Your confirmation code can be found in your meeting registration confirmation email.

Membership, sponsorship, and exhibitor benefits, including complimentary registrations, are intended for firm employees and cannot be granted to individuals outside the firm. NMHC reserves the right to close meeting registration should interest exceed availability.
Suitcasing and Outboarding Policy
NMHC strictly prohibits Suitcasing and Outboarding activities at our meetings, conferences, and events. All attendees are expected to abide by the NMHC Suitcasing and Outboarding Policy.
Meeting Registration Cancellation Policy
Meeting registrations cancellations must be emailed to membership@nmhc.org. Written requests for meeting cancellation refunds received prior to ten (10) business days before the start of the meeting are entitled to a full refund, minus a processing fee of $250. No meeting cancellation refunds will be granted after October 4th, 2024.

Hotel Reservations

NMHC has set aside a block of rooms for meeting attendees. Room reservations should be made directly online with our event housing management team, Staged Right Events. Please do not contact the Gaylord directly.
Hotel Reservation Deadline:
Reservations must be made online on or before September 20, 5:00 p.m. ET. Please note that there is a possibility the room block will sell out prior to the deadline, rooms are first come, first serve.
Hotel Reservation Rate Details:
Gaylord Guest Room: $305* per night (single/double occupancy)
*All room rates are subject to applicable state and local taxes, currently at 18% (subject to change without notice).
Resort Fee: It is included in the NMHC nightly rate. Resort wide internet access, 24 hour access to fitness center, sunrise yoga, access to indoor pool, two bottles of water in room, complimentary cookie or piece of fruit at Potomac District Cafe & Market, welcome cocktail for 2 at Harbor Social and up to 20 BW photocopies at FedEx.
Deposit: All reservations will be charged a one night deposit equal to one night room rate and tax at the time of confirmation. You can request a copy of the folio via a link on your hotel confirmation email.
Triple and Quad Occupancy: If there are more than 2 people on your reservation, a charge of $20 per night will be added for each additional guest.
Important Information on the Hotel Request Process
- Upon registering for the meeting, you will receive a meeting registration confirmation email that contains the meeting registration confirmation code required to submit your reservation request. Individuals must be registered for the meeting before making a hotel reservation request. Failure to do so will result in your request being cancelled.
- Hotel reservation requests will be acknowledged via email within 24 hours and confirmed within 10 business days by a separate email.
- All hotel reservations will be charged a one-night deposit at the time of confirmation, which is about 7-10 days after your request has been made. You can reply to your hotel confirmation email or email info@sreconference.com directly if you require a folio from the hotel for the charge.
- Canceling your meeting registration will require you to cancel your hotel room reservation. All hotel cancellation requests must be emailed to info@sreconference.com.
- NMHC uses a centralized hotel reservation company (Staged Right Events) to manage hotel reservations for all of our attendees at the NMHC OPTECH Conference & Expo. Please contact them at 954/404-8252 Monday to Friday, 9AM – 5PM ET or info@sreconference.com
- Hotel Suites: Suite requests require NMHC approval. There are no hotel suites available in the NMHC block. Sponsors and Exhibitors interested in reserving a hotel suite may contact Staged Right Events to inquire about suite availability and booking. Suites will not be assigned to non-sponsoring or non-exhibiting companies.
Hotel Room Cancellations
Reservations can be cancelled without penalty on or before September 20, 2024. Any full reservation cancellations requested after September 20, 2024, will forfeit the advance deposit equal to one night room rate and tax. All hotel cancellation requests must be emailed to info@sreconference.com or you can reply to your confirmation email.
Hotel Reservation Changes and No Shows
- Name changes: Any changes to names on reservations must be requested via email to info@sreconference.com at least 7 days prior to arrival. You will receive an updated confirmation with your change once the reservation is updated.
- Date Changes: Any reservation date changes must be emailed to info@sreconference.com at least 72 hours prior to your confirmed arrival date to avoid penalties. Any changes to your arrival and departure date are subject to availability at the time of your change request. Otherwise, additional room and tax penalties will apply and will be charged to the card on file.
- It is recommended to request additional nights prior to September 20th to guarantee group rate. You will receive an updated confirmation with your change once the reservation is updated.
- No Shows: Guests that do not check in on their confirmed arrival date will be classified as a no show and their reservation will NOT be able to be reinstated. No-shows may be charged additional penalties and if there is no prior notification of a date change at least 72 hours prior to arrival.
Room Availability and Hotel Waitlist
We anticipate selling out our entire room block at the group rate at the Gaylord National. If your arrival/departure dates are unavailable on the housing site, please contact Staged Right Events at info@sreconference.com. They may be able to request additional rooms, provide a waitlist option (if needed) or help secure alternative arrangements.
Unauthorized Solicitation Notice: NMHC does not rent or sell the email addresses of conference registrants or our members. For your protection, do not purchase attendee lists, book hotel rooms, or order exhibitor show services through any unknown company or third-party vendor that may contact you directly. Solicitations from any such firms are fraudulent; NMHC is not affiliated with these firms. If any such firm contacts you, please email sponsorships@nmhc.org.
Ground Transportation
Gaylord National Resort & Convention Center is approximately 12 miles from Ronald Reagan National Airport. For those of you arriving by air, you have the following alternatives for ground transportation:
- A taxi from Reagan National Airport will cost approximately $31 each way and will take approximately 20 minutes, depending on traffic. A DCA Taxi Dispatcher is available at designated taxi stands to ensure you are placed with a taxi.
- Uber, Lyft, and ALTO offer transportation services to passengers arriving to and departing from Reagan National Airport. For rides departing Reagan National customers should use their smartphone to select the appropriate pick-up zone, and coordinate directly with their driver. Green flags located outside on the outer terminal curb designate the appropriate pick-up loading zones.
- Terminal 1: Customers can meet their ride on the third (outer) curb.
- Terminal 2: Customers can meet their ride on the Baggage Claim (Arrivals) Level – 1st Floor on the outer curb.
- Rental Car Center: Customers can meet their ride at the designated pick-up and drop-off location across from the Rental Car Shuttle Bus shelter located on National Avenue.
Parking at the Gaylord: Self-parking is currently $39 plus tax per day and valet parking is $64.00 plus tax per day.

Subgroup Events & Meeting Rooms
All requests for event space and meeting rooms at the Gaylord National Resort & Convention Center requires NMHC approval. Requests made directly through the hotel will be declined and turned over to NMHC for review. NMHC reserves the right to decline any request for any reason.
Event space, meeting rooms, and hotel suites will only be assigned to sponsoring companies. Qualifying sponsorship levels include 2024 Chair's Circle, 2024 Friends of the Council, and 2024 OPTECH Conference Sponsor (Platinum, Gold, or Silver) levels.
Event space, meeting rooms, and hotel suites are limited and not guaranteed to any company regardless of sponsorship level, membership level, or any such opportunity held by a company in the past.
SUBGROUP EVENTS
Subgroup events and functions, held on or off hotel property, may not conflict with conference program and exhibit hall hours. Daytime buyouts of any hotel space (including restaurants) for events and meetings are not permitted.
