Mandatory COVID-19 Vaccination Policy
for 2021 OPTECH
NMHC will be requiring all attendees to be fully vaccinated. Attendees may submit vaccination proof now, or learn more about the requirement.
We ask all attendees to comply with current local regulations regarding mask wearing. As of 10/26 Prince George's County, where OPTECH is taking place, has an indoor mask mandate in place. If this requirement is lifted prior to OPTECH we will notify attendees on site.
An in-person 2021 OPTECH Conference & Exposition is here (finally!). This year’s conference brings everything attendees have come to love about OPTECH while reimagining the conference experience for our new world. With more time and space for meeting with friends and solution providers, a restructured schedule and an expanded expo, OPTECH remains the must-attend event of the year.
Who Attends? Open to NMHC members and non-members, the conference is geared toward decision-making executives. Over 1,000 CEOs, COOs, CTOs, CIOs, VPs, etc. attend.

Conference Registration
NMHC’s OPTECH Conference & Expo is open to NMHC members and non-members. Conference attendance fees or waivers do not include hotel room charges.

Member registration is contingent upon dues being current. Membership, sponsorship, and exhibitor benefits, like meeting registrations, are intended for firm employees and cannot be granted to individuals outside the firm. NMHC reserves the right to close meeting registration should interest exceed availability.
NMHC's Policies on "Suitcasing", "Outboarding" and “Off Show Floor Exhibitor Entertaining”
In order to protect our valued exhibitors and the investment they have made to participate in the 2021 NMHC OPTECH Conference & Expo, show rules strictly prohibit solicitation by attendees or non-attendees (NMHC members and non-members alike) who transact business at the exposition or in the Gaylord National Resort & Convention Center and do not have exhibit booths. Meeting Registration Cancellation Policy
Meeting registration cancellations must be sent in writing to NMHC. Written requests for meeting cancellation refunds received prior to ten (10) business days before the start of the meeting are entitled to a full refund, minus a processing fee of $250. No meeting cancellation refunds will be granted within ten (10) business days prior to meeting commencement.

Mandatory COVID-19 Vaccination Policy
The health and safety of our attendees is top priority. Our health and safety protocols (updated on September 15) require all attendees to be fully vaccinated or to receive a waiver for medical or disability reasons.
(Attendees who registered before September 15 may cancel their registrations and request a full refund by October 8.)
- Attendees can request a waiver from the requirement based on health or disability status by October 29. (See below).
- All attendees who have not received a health/disability waiver will need to upload their vaccination information to our Safe Expo, our third-party Health Screening Provider, by Friday, November 5. Alternatively, you can bring your vaccination records to our onsite Health Screening station.
- To be considered fully vaccinated for OPTECH 2021, attendees must have gotten their second Pfizer/Moderna shot or single J&J shot by October 24.
- To protect the privacy of our attendees, SafeExpo does not share any of the information submitted to it with NMHC. In addition, they do not retain any records. All records are destroyed once they have been reviewed.
- If you are not able to show proof of vaccination prior to attending or at the Health Screening station, you will not be permitted to attend the event.
- IMPORTANT: Because SafeExpo does not retain any vaccine records, attendees who submitted vaccine information to attend NMHC’s Annual Meeting in June, NMHC's Fall Meeting in September or NMHC's Student Housing Conference in October, will have to re-submit their vaccination records.
Exemption Request for Medical/Disability Reasons
- You have until October 29 to request an exemption from our mandatory vaccine policy because you have a qualifying medical condition or disability under the Americans with Disabilities Act.
- To submit a request, complete this form and return it to accommodationrequest@nmhc.org by Friday, October 29.
- Those who are approved for an exemption must provide a negative PCR test within 72 hours of the event and complete a daily health check onsite.
- If you are not approved, you will be eligible for a full refund.
Limited Refund Policy for Pre-September 15 Registrants
- If you registered before September 15 when this policy was enacted, you are entitled to request a full refund for your registration cancellation. Requests must be submitted before October 8.

Submitting Proof of Vaccination
- To submit your vaccination records, please go to https://mgl.ud.net/fmi/webd/nmhc_optech by Friday, November 5.
If you prefer to verify your vaccination onsite, you can bring proof with you to the Safe Expo Screening Area when you arrive to the event. - You will receive an approved or declined email from our Health Screening company.
- Record Declined: Resubmit your record or contact our Health Screening company.
- Record Approved: Bring your approval email with QR code to the Health Screening Station.
- Scan your QR code.
- Receive your Fast Vax Pass for the remainder of the meeting.

New Housing Process!
NMHC has set aside a block of rooms for meeting attendees. Room reservations should be made directly online with our event housing management team, Staged Right Events. Please make your reservation before Wednesday, October 13. The group room rates start at $269 single/double occupancy per night. Note: Do not contact the Gaylord directly.
All reservations will be charged a one-night deposit at the time of confirmation. You can email info@stagedrightevents.com if you require a folio from the hotel for the charge.
Hotel Room Cancellations
Reservations can be cancelled without penalty up to seventy-two hours prior to 6:00 p.m. ET on the scheduled day of arrival. After that time, a non-refundable deposit equal to one night room rate will be forfeited.
All hotel cancellation requests must be emailed to info@stagedrightevents.com.
Reservation Changes and No Shows
Any name changes must be emailed to lacey@stagedrightevents.com at least 14 days prior to arrival, after that time has passed the hotel will be unable to complete any name changes.
Changes to your arrival and departure date must be emailed to lacey@stagedrightevents.com at least 72 hours prior to arrival and are subject to availability at the time of the request, otherwise, additional room and tax penalties will apply and will be charged to the credit card on file.
All room requests, reservations and changes are subject to NMHC's approval and NMHC reserves the right to cancel a hotel reservation at any time.
Waitlist/Overflow Rooms
We anticipate selling out our entire room block at the group rate at the Gaylord National Resort & Convention Center. If your dates are unavailable via the housing site, please contact Staged Right Events info@stagedrightevents.com. They may be able to request additional rooms or provide a waitlist option, if needed.
IMPORTANT NOTICE: Don't get lured in. In the past, sleeping room wholesalers have contacted exhibitors/attendees offering great deals on a hotel room for the NMHC OPTECH Conference & Expo. While it is not illegal for a travel firm or booking agent to solicit potential customers, it can be difficult to determine the legitimacy of offers from these organizations. Those who opt for alternatives through official NMHC channels to get other negotiated rates may find themselves at risk. NMHC reminds its attendees/exhibitors that we have no affiliation with any soliciting room brokers.
Ground Transportation
Gaylord National Resort & Convention Center is approximately 7.7 miles from Ronald Reagan National Airport and 35 miles from Dulles International Airport. For those of you arriving by air, you have the following alternatives for ground transportation:
- A taxi from Ronald Reagan National Airport will cost approximately $30-40 each way and will take approximately 20-25 minutes, depending on traffic. A taxi from Dulles International Airport will cost approximately $85-90 each way and will take approximately 45-50 minutes, depending on traffic.
- If you plan on using a Ride App for pick up (Uber/Lyft) both Ronald Reagan National Airport and Dulles International Airport have dedicated areas for you to meet your driver. For Ronald Reagan National Airport, private pick-up is located on the third (outer) curb outside of Terminal A and on the Terminal B/C Baggage Claim Level (level 1) outer roadway curb. For Dulles International Airport, these pick-ups will be located on the lowest level of the airport. It is located outside of the baggage claim, accessible via Doors 2, 4 or 6.
- For attendees driving and parking at the hotel, self-parking is $14/hour and $30/day and valet parking is $49/day. Rates are subject to change.
